Privacy Policy

Trillion Global operates Trillion to help teams communicate, prepare and manage their activities. This policy describes information collected through the service.

Information we collect

Adults provide account names, email addresses, private contact numbers, passwords and recovery credentials. Passwords and recovery codes are stored as hashes. Parents may supply child account information, an age range, profile and guardian relationships, and consent records. We do not need a child’s exact birth date or government identification for the account flow.

Depending on features used, we store team memberships, roster entries, schedules, RSVPs, messages, attachments, photos, videos, journals, goals, playbooks, results, stats and recognition. We also process account and team session cookies, request/security information, rate-limit records and optional notification preferences. We do not verify a person’s identity merely because they provide a phone number.

How we use information

We use information to authenticate users, enforce team and family permissions, operate chosen features, show authorized content, support recovery, prevent abuse, record consent, investigate safety reports and comply with law. We do not offer targeted advertising or sell personal information through this service. Child consent does not authorize advertising, public marketing or unrelated AI training.

Who can see it

Authorized team members can see content shared with their team. Coaches-only content remains restricted to current authorized staff. Personal athlete profiles are restricted to the athlete and explicitly linked parents. Coaches do not gain private family access through coaching roles. Every linked parent has visibility into youth communications subject to the required team membership. Private contact numbers are not published as a team directory.

Trillion uses Cloudflare for hosting, databases and private file storage, and OpenAI/ChatGPT Sites infrastructure to operate the service. Explicit AI features use OpenAI to process the limited material described in that feature, such as a coach-selected play, submitted game record, assistant request or recorded audio. We do not automatically send private chats or family journals to AI coaching research. Device push subscriptions may use the browser’s push provider after opt-in. Address searches use Photon/OpenStreetMap.

External links and media embeds can disclose technical information to providers such as YouTube/Google, Instagram/Meta, Vimeo or Streamable when loaded. Their own privacy policies apply. Under-13 accounts do not load external media embeds or use AI, voice recording or device push features until these additional practices have been reviewed and separately enabled where legally required. Public spectator links show only the limited team scoreboard information deliberately enabled by staff.

Children and parent consent

Anyone under 18 needs a linked parent or legal guardian to create or authorize their account. Under-13 login remains blocked until a signed parent consent form has been reviewed and approved and the child privacy process is ready. The parent receives the child privacy notice before submitting consent. Coaches’ invitations and ordinary terms checkboxes are not treated as verified under-13 consent.

Parents may review their child’s information through linked account/profile access, withdraw authorization immediately in Family accounts, and request access, correction or deletion through Privacy & safety requests. Withdrawing authorization blocks the child’s account; it does not instantly delete every shared team record. We must verify the requester’s authority before disclosing or deleting records.

Product measurement

We use first-party measurement to understand whether visitors try coaching resources, start a playbook, register and save work to a team. A random browser identifier lasts up to 30 days and can be linked to your adult account at signup. Measurement contains stage, sport and time, without private messages, coaching instructions, contact details or children’s personal information. We honor Do Not Track for visitor measurement. Clearing site cookies resets the browser identifier.

Retention, security and requests

We retain information for the purposes for which it was collected, including operating active accounts and authorized sports records, resolving support or safety issues, and complying with legal preservation obligations. Records are not promised to be retained forever. A deletion request receives review because shared team records and legal obligations can require different treatment. Pending under-13 consent forms are restricted to the submitting parent and designated Trillion reviewer; they are not shared with coaches or teams. Under-13 activation remains disabled until the operator’s child-specific retention and deletion process has been approved.

We use access checks, hashed credentials and private storage. No security measure eliminates every risk. Browser preferences and unsent drafts may remain on a device as described in the relevant interface; private account and team records use server storage. You can decline optional notifications, clear device storage and sign out.

Contact and changes

Submit privacy or safety questions through Privacy & safety requests. Requests are recorded for Trillion review and their status and response are available in the app. Submission is not emergency monitoring.

We will update this policy when our practices change and obtain renewed parent consent where required. Applicable privacy and consumer rights remain in force.
